-As you yourself have noted, the image is not cropped to 210px wide by 240px tall and is greater than 20KB.
-The image is currently a PNG (hence the transparent background). In order for the site to upload the images to the database, they need to be JPGs.
-The file name is obviously just an auto-generated hosting site name. It makes it a heck of a lot easier for the admin team if the file names are intuitive and include information such as Character Name, Voice Actor, Title, etc. For example, I would name this file "1-KiraYamato-SoichiroHoshi". As in, "This character is #1 in the title, the character name is Kira Yamato and they are voiced by SoichiroHoshi". This is not only beneficial for YOU when you're getting all of your files organized, but also once the admin team saves and organizes them on THEIR end. Does that make sense? -

-You provided the name of the character followed by the name of the voice actor

10-25-2021TylerMirageI'm guessing it will require a name and an e-mail address. You can always use a fake name, but BTVA also requires a name and an e-mail address, so if you can do BTVA you can do the other.

10-25-2021TylerMirageYeah, they use it as an extra form of security verification. But I understand if you're unable to, or uncomfortable with, providing that information online. You might have to look for an alternative image-hosting site.

10-22-2021TylerMirageAh, yes. Once you have your images ready, upload them to an image-hosting website, such as Imgur (or the now-defunct Photobucket). Hosting sites will allow you to copy the image URL and hyperlink them within the thread.

10-22-2021TylerMirageI typically use Adobe Photoshop 2020/Elements 2018, but any image-editing program should do the trick, such as GIMP. It's a matter of finding one that you're comfortable with that can perform the task at hand.
Just try your best. Posts/threads can always be edited after the fact, so if you're unable to crop the headshots, but DO have ALL of the other necessary elements on the request, you can always post the request thread with the note of "I'm sorry for not cropping, I'm having difficulty, etc". It might still be labelled as "low priority", but if you've got everything ready to go (minus the images being cropped) and are polite and patient, the admin team might take notice of that.
